Inquiries
Form submissions come in automatically, sorted by real or not, intent and what they want; a board tracks the stage of each deal, and AI researches buyers and drafts replies.
Customers → Inquiries in the sidebar.
- Creght sites: a form submission is pushed in as soon as it happens; every 30 minutes anything missed is pulled in, or click "Sync now".
- WordPress sites: in Sites & accounts, pick the site and paste the Webhook address under "Receive form inquiries" into your form plugin's Webhook settings (Elementor, WPForms, Contact Form 7…); instructions for each plugin are there.
If your site has no form yet, ask the assistant to add a quote form.
Four numbers at the top: New in 24 hours, This week (vs the 7 days before), High intent to follow (high intent, not yet won or lost) and Won. Click one of the first three to list those inquiries.
Below them, quick filters: All real, Last 24 hours, This week, High intent, Wants a quote, To handle (still New), All submissions, Spam / invalid; the search box covers company, name, email, country and message. "Export to Excel" saves the current list as a spreadsheet.
On the right, switch between List and Board:
- List: sort by intent or by time; new inquiries you haven't opened carry a "New" mark;
- Board: six columns by stage: New, Contacted, Quoted, Negotiating, Won, Lost. Drag a card to another column to change its stage.
At the bottom: the pages bringing real inquiries and the campaigns (utm_source), last 30 days.
Each new inquiry is judged automatically within minutes:
- Real or not: separated from SEO/web-design pitches, spam and test submissions;
- Intent: High, Medium or Low intent, with a one-line reason;
- Tags: Quote, Samples, Custom / OEM, Bulk, Distributor, Urgent.
Click one to open it, in three parts:
- Overview: message, contact, company, title, country, page it was submitted on, campaign, the raw form fields, and the reply draft;
- Buyer research: see below;
- Follow-ups: changing the stage, drafting a reply and researching the buyer each log an entry; log your own too (called them, sent a quote…).
Stages: New → Contacted → Quoted → Negotiating → Won / Lost; spam or invalid ones are marked "Spam / invalid". New inquiries you haven't handled, and contacted ones with no progress for 3 days (no stage change, nothing logged), show up in Today's work on the Operations overview.
In an inquiry, "Buyer research → AI research" has the assistant look into the buyer; you can watch it work in the chat on the right, and the result shows up here:
- Verdict: Worth pursuing / Normal follow-up / Verify first / Likely invalid, with the reasoning;
- Company: what they do, website, country, founded, size, revenue range;
- Buying signals and risks (sanctions, odd payment requests, empty websites…), with source links where possible;
- Domain check: how long the domain has been registered;
- Suggested next steps: what to answer first, how to price, which documents to send, which questions to ask.
Where nothing could be found the assistant says so instead of guessing. Research is for your eyes only: replies use it but never mention it to the buyer.
Under Overview in an inquiry, "Draft reply with AI" has the assistant write a reply in the buyer's language, about the products and questions they asked. It shows up there; "Rewrite" if you don't like it.
- Prices, lead times, MOQ and anything else not in your details are left as [ ] placeholders for you to fill in;
- "Copy", or "Send by email" (opens your own mail app). After sending, set the status to "Contacted";
- "AI instructions" at the top of the page hold the fixed rules for replies: signature, how to quote, tone, length.
The assistant only writes drafts; it never sends email for you or passes contact details anywhere.
